General myIowaUI Questions

Q) What browsers do you recommend using with myIowaUI?

A) We recommend using Internet Explorer or Microsoft Edge with myIowaUI. Other browsers may not be compatible.

Q) I have a disability and cannot file on-line using myIowaUI. What should I do?

Payments

Q) How can I modify or cancel a payment scheduled for a future date after it is submitted?

A) If it is greater than two days from the scheduled payment date contact our Unemployment Insurance Tax Representatives who will contact our accounting department. Hours are 8:30 a.m. to noon and 1:00 p.m. to 4:00 p.m., Monday through Friday (CST).

Q) What are the charges for returned payments?

A) A returned check has a $32.50 bank fee and a $30 administrative fee. A returned e-payment has a $30 administrative fee. Additional fees may be assessed by your banking institution.

Q) I cannot pay the full amount of my bill at this time. What can I do?

A) Contact our Unemployment Insurance Tax Representatives at 888-848-7442 for assistance with information about a payment plan. Hours are 8:30 a.m. to noon and 1:00 p.m. to 4:00 p.m., Monday through Friday (CST).

Q) Why does my account show a penalty even though I paid on time?

A) A late penalty is charged for late reports, even if you have made a timely payment. The quarterly wage detail must be submitted before the due date.

Q) Why does my account show interest charges?

A) Interest charges are assessed on late payments. If you fail to remit the entire amount due, interest will accumulate daily on the unpaid balance.

Q) Can I pay my myIowaUI charges with a paper check?

A) No, all Unemployment Insurance Tax charges must be paid electronically.  Three payment method options are available:

  • eCheck - payment can be made electronically on myIowaUI.  When submitting your payment by eCheck, provide this ACH Company ID# to your bank to avoid the payment being blocked by your bank:  W426004579.
  • Credit Card - payment can be made electronically on myIowaUI.  Credit card charges will apply.
  • ACH Credit Transfer - complete and submit an application for ACH Credit Transfer (53-0110).  ACH Applications may take up to three weeks to process, please plan ahead.

Multiple Worksite/Multiple Reporting Unit Questions

Q) Should I file my wages by where work was performed?

A) Unemployment Insurance Tax and Labor & Marketing Information (LMI) prefer you file wages by reporting unit. This will allow you to submit the tax quarterly report and LMI Multiple Worksite Report at the same time through myIowaUI. However, this is not a requirement.

Q) Who do I call about multiple worksite questions or NAICS code questions?

A) Call the Iowa Workforce Development Employment Statistics Bureau at 800- 532-1249.

Login Questions

Q) What is my Account ID?

A) Your Account ID is your user name and is usually your "Firstname.Lastname" followed by "@IOWAID". If you don’t remember your user name, click the tab labeled “Forgot ID” and enter the e-mail address you used when the account was created.  An email containing the correct Account ID will be sent to that email. If you no longer have access to this email address, contact our Unemployment Insurance Tax Representatives at 888-848-7442. Hours are 8:30 a.m. to noon and 1:00 p.m. to 4:00 p.m., Monday through Friday (CST).

Q) What is my Password?

A) If you have forgotten your password, click the tab labeled “Forgot Password”. You will be directed to enter your Account ID and then answer the security questions you provided when your account was established. After answering the questions correctly you will be prompted to create a new password.

Q) I forgot my password; do I have to answer all three of my security questions on the Forgot Password Tab?

A) Yes.

Q) I forgot my password and don’t remember the answers to my security questions. How can I get access to my account?

Q) I just started working for my new employer. I had an ID for myIowaUI at my last job, but when I type it in, it takes me to my previous employer’s account.

A) You are still attached to that account through your ID. Contact our Unemployment Insurance Tax Representatives at 888-848-7442 for assistance. Hours are 8:30 a.m. to noon and 1:00 p.m. to 4:00 p.m., Monday through Friday (CST).

Q) I recently got married and my last name has changed. How do I change my Account ID to reflect my name change?

A) The Account ID itself cannot be changed.

Q) My e-mail address has changed. How do I update my e-mail address?

A) Log in to your myIowaUI account. Go to the Users Tab. Click “Add User” icon and add a new user with the new email address and Assign Roles. (Do NOT change the email address on existing user.) Once the new user is added, select the last name of the user with the old/incorrect email address. Change the status from “Active” to “Inactive” then click “Complete”. Log Off. Enter your account ID and password again but select Account Details instead of sign in. Change the email address in both fields and save. Click “Continue to My Iowa UI”.

Q) I don’t have an e-mail address which is required for myIowaUI. How can I set up access to my account?

A) You can set up a free e-mail on many websites, for example www.Yahoo.com or www.Gmail.com.

Q) I have tried to set up an Account ID and the system tells me that the Account ID already exists.

A) This can happen if your name is common and has already been registered with A & A (e.g. John Smith). Our Unemployment Insurance Tax Representatives can verify with the individual’s e-mail address or username if you already have an Account. If you already have an ID, you can access your account by clicking one of the “Forgot” options.

Q) Why do I have to use my personal name to set up the Account ID? Shouldn't the login be tied to the business and not an employee.

A) The state uses a system called Enterprise A&A. It is a secure way of knowing who is accessing the myIowaUI website. The login is portable so if you ever leave your current job, you can take your login with you.

Q) I am trying to file online and it’s asking for a key code, but I don’t have one.

A) Contact our Unemployment Insurance Tax Representatives at 888-848-7442 for assistance. Hours are 8:30 a.m. to noon and 1:00 p.m. to 4:00 p.m., Monday through Friday (CST).

Q) How do I set up a Contractor Registration account?

A) If you need the Iowa Department of Labor’s Contractor Registration, then you also need to submit an application for a myIowaUI account regardless of whether you have employees or not. myIowaUI will make the determination if you are liable for unemployment insurance taxes from the information provided.

Agent Questions

Q) I am trying to get set up with an Agent account, but my e-mail address is already linked to one of my clients. How can I get an Agent account established?

Q) I am an Agent. How do I get my employers linked to my Agent account?

A) You and your clients have two options to give you access to manage their UI Tax account:

1. Recommended Option – Employers log in to myIowaUI. Each of your clients will receive an Account ID and Password and will verify their information, such as name and address. They need to click Assign Agent from the left side of their employer homepage. Then, the employer will be prompted to enter an Agent ID (which needs to be provided by YOU, the agent) and assign UI account roles. After this is completed, you will be able to immediately access the employer account.  

2. Alternative Option – Fill out the Power of Attorney Form 68-0092. Please allow 6-8 weeks for access to be granted to agent.

Q) I submitted a Power of Attorney Form for my client (or my client says they have already assigned me as an Agent), but I don’t see my client’s account listed on my Agent account.

Q) What does each Power of Attorney role on myIowaUI mean?

A) Here are the definitions of the various Power of Attorney roles.

System Administrator – Permission to add or update employer user information and assign agents (agents cannot assign other agents, though)

Maintain Account – Permission to update all account information, including updating name and address, updating reporting units, notifying IWD of changes of ownership and reporting bankruptcy information

Manage Payments – Permission to make a payment, set up a payment plan, view payment history and request refunds

Payment View Only – Permission to view the payment history on the account

Submit/change Wage Detail – Permission to submit wage report, submit wage adjustment, view quarterly report summary, view wage detail, and request IRS certification of wage reporting

Wage Detail View Only – Permission to view quarterly report summary and view wage detail

View Correspondence – Permission to view all correspondence

View Transaction History – Permission to view transaction history

Benefit/Claim Information – Permission to receive benefit/claim information

Q) As an accounting firm, how do multiple people in the firm access the same list of accounts?

A) The first person who sets up the agent account will be the system administrator. The system administrator may then add additional users to the agent account and assign accounts to them. Go to Users tab on the Agent account and click New. The email that is entered on this page must be the same as the email used during the A&A registration process when Account ID and password is assigned for the new user.

General Tax Questions

Q) I sent in an Employer’s Notice of Change form as my status has changed effective the end of last quarter. Do I need to submit a report this quarter?

A) No.

Q) I just submitted my report and I filed it with the wrong payroll detail. What can I do?

A) Fill out the Employer’s Wage Adjustment Report 68-0061. If your company has 10 or more employees, you can contact our Unemployment Insurance Tax Representatives at 888-848-7442 for assistance. Hours are 8:30 a.m. to noon and 1:00 p.m. to 4:00 p.m., Monday through Friday (CST).

Q) Where do I find the legal information that says I’m required to pay unemployment tax on my employees?

A) Here is the Statutory Law. Search for “96” which finds the Employment Security – Unemployment Compensation law. Review the Administrative Code by Agency.

Q) Why are my taxable wages different than what I submitted?

A) myIowaUI automatically calculates taxable wages. The taxable wages can be different for a number of reasons: wrong taxable wage base used by employer, SSN keyed wrong, other state wages not being reported, or wrong rate used by employer. Sign into your myIowaUI account and review your wage detail. If you want to make changes, fill out the Employer’s Wage Adjustment Report 68-0061.

Q) I filed my quarterly report on time, but it is listed as being filed late with a penalty on myIowaUI, why?

Secure File Transfer Questions

Q) What are the requirements for Secure File Transfer (SFT):

A) Usually larger employers (2,000 wage lines+) or large service providers find this the best option. Our Unemployment Insurance Tax Representatives can send you the specifications. It is heavily suggested that employers involve their IT department. QuickBooks and Thomson Reuters also have an option to submit SFT files through their software.

Q) If I file by Secure File Transfer, do I have to log in to myIowaUI?

A) If your file submits successfully, there is no requirement to log in to myIowaUI; however, we highly suggest that you log in to myIowaUI to review submitted reports, view correspondence, address information, and account balance information. It is your responsibility to make sure the quarterly report was processed. There are common reasons why the file does not process. If you use QuickBooks or Thomson Reuters, you will not receive a notification that the file was processed; log in to myIowaUI, click Quarterly Reports, then click Submission Summary.

Q) What do I have to do to get signed up to use Secure File Transfer?

A) You must be assigned an EFIN filing number. This number is specific to IWD. Email dale.clark@iwd.iowa.gov and provide:

Company Name

Contact Person’s Name

Contact Person’s Title

Contact Person’s Phone

Contact Person’s Email

Once he receives this information, he will add you to the test database. You need to successfully send a test file before your company can be added to production.

Q) I submitted my SFT file, but it did not process. Can I submit a corrected file?

A) Yes, after you have fixed your file, submit the corrected file on the next day.
